Upload Monthly Employee Master
Upload the employee master before starting the month. The QR CODE value in the master must be exactly the same as printed on the employee ID card or job card.
Master Excel columns: EMP.ID, NAME, CONTRACTOR, DEPARTMENT, DESIGNATION, QR CODE, SHIFT. Upload as an Excel (.xlsx) file.
Shift handling: The SHIFT column in the master is optional — live attendance captures the shift automatically from the true Gate IN scan time: C 22:00–06:59 (next day), A 07:00–08:59, G 09:00–13:59, B 14:00–21:59.

Daily Monitoring Sheet
Attendance day runs 07:00:00 to 06:59:59 next day. Employees are grouped into shift blocks (A, G, B, C). Multi-shift spans show as A+B etc., with hours beyond the 8-hour normal block counted as Overtime.

The attendance cycle closes at the end of the 26th calendar day of each month (26th 06:59:59). Selecting a month shows the cycle that closes in that month (27th of previous month 07:00 to 26th 06:59:59).
Exception Report
This report highlights cases such as Gate IN without Department IN, Department IN without Department OUT, Gate OUT missing, duplicate scan, and inactive/unknown barcode.
Exceptions Raised at Main Gate (Late Arrival)
Exception requests are raised automatically from the Main Gate IN scan. When an employee is scanned at the Main Gate after the grace window of the designated shift, the Main Gate IN is held and an exception request is created here automatically with the true device time and the shift that should have started.
No barcode is scanned on this page. HR only takes the Approve or Reject action in the table below.
How it works
1. Main Gate IN scan after grace → an exception request appears below automatically (true time + shift).
2. HR enters the permitting officer's name, then clicks Approve (or Reject).
3. On Approve, the Main Gate IN is regularised with the true time and shows in the Main Gate IN — Live Scan Log.
4. The employee can then continue Department IN → Department OUT → Main Gate OUT normally.

User Instructions — Read Carefully
This application monitors contract manpower attendance at VS Lignite Power Pvt. Ltd. using barcode/QR scanning at the Main Gate and the Department/Shop floor. The true system date & time are captured automatically and cannot be typed by hand.
1. Attendance Day & Monthly Cycle
- One attendance (working) day = 24 hours, starting at 07:00:00 hrs of a day and ending at 06:59:59 hrs of the next day.
- Any scan before 07:00 hrs is automatically counted in the previous working day.
- The monthly attendance cycle runs from 07:00 hrs of the 26th of a month up to 06:59:59 hrs of the 26th of the next month.
2. Shift Logic (military / 24-hour time)
- A shift — 07:00 to 14:00 hrs (07 hours; a variation of the 8-hour standard).
- B shift — 14:00 to 22:00 hrs (08 hours; the standard 8-hour shift).
- C shift — 22:00 hrs to 06:59:59 hrs of the next day (09 hours; a variation of the 8-hour standard).
- G shift (General/day) — 09:00 to 17:30 hrs. Its Main-Gate IN window opens at 08:00 hrs with the 1-hour grace.
3. One-Hour Grace at the Main Gate (IN and OUT)
- A grace of 1 hour before the shift start is allowed at Main Gate IN. An employee who comes early is still counted in the shift that is about to start. This grace is kept separate from the 07:00 day-rollover, so it never changes which attendance day a scan belongs to.
- Examples: 06:00 → A, 08:00 → G, 13:00 → B, 21:00 → C.
- A 1-hour grace window also applies at Main Gate OUT, around each shift’s end time, so a normal exit just before/after shift end is treated as on-time.
4. Shift Combinations (all allowed)
- All combinations are allowed, including A+G, G+B, A+B, B+C, C+A and triples such as A+B+C or G+B+C.
- The captured combination shows the first and last shift only. Example: if an employee enters in A, continues through G, and exits after B, it is recorded as A+B (not A+G+B) against that employee.
5. Continuation & Same-Shift Attribution
- If an employee enters in A shift and continues into B, and his Department OUT and Gate OUT are still pending/open, then as soon as he scans OUT it is recorded against the shift he entered.
- This holds for the full working day (07:00 hrs of the day to 06:59:59 hrs of the next day).
6. Department IN / OUT — Platform Based (Triple E Services)
- At Department IN and Department OUT, the operator selects the Platform location:
- Platform A — Electrical, Operation, Mechanical, C&I
- Platform B — Environment, CHP-Mechanical, Admin
- Platform C — Chemistry, Civil, Fire & Safety, Horticulture
- Platform D — Feeder Braker, Mines
- Others — for employees of contractors other than Triple E Services
- The platform logic applies to Triple E Services only. For every other contractor the operator chooses Others.
- Although scanning is platform-based, the Executive Dashboard shows manpower presence department-wise only for today\u2019s attendance day.
7. Live Logs & Refresh
- Main Gate IN, Main Gate OUT, Department IN, Department OUT and Exception–Permission each have a Refresh button that pulls the latest shared data instantly so all users stay in sync.
- When an exception permission is rejected by HR, it appears in the scan log with the status EXCEPTION REJECTED.
8. Password Protection (changes daily at midnight)
- Main Gate IN and Main Gate OUT each have their own confidential daily password, set and rotated by HR in the HR Password Admin tab. The actual values are entered by authorised staff only and are never displayed.
- Department IN and Department OUT each have their own confidential daily password, set and rotated by HR in the HR Password Admin tab. The actual values are entered by authorised staff only and are never displayed.
- These passwords are dynamic and roll over automatically at midnight with the change of the true system date.
- The HR Master password controls all HR-only zones (Add/Delete Employee, Daily Monitoring, Monthly Consolidation, Exception Report, Exception–Permission, HR Password Admin and Backup/Restore). It is confidential and never displayed.
- HR can change the master password at any time in the HR Password Admin tab (\u201CChange Master Password\u201D); the new password applies to every device.
7. Daily Monitoring, Locking & Export
- Daily Monitoring shows data separately for A, B, C and G shifts.
- When a shift’s end time passes, that shift is automatically locked (read-only) and shown with a 🔒 LOCKED badge. A locked shift cannot be modified.
- Each completed shift is immediately ready to export to Excel (per-shift button). Captured input is always in military time format.
- After a shift completes, the next shift’s capture window becomes the active/open one.
- A Consolidated export combines all shifts of the day. The consolidated data of the previous working day is ready by 07:00 hrs daily, reflecting the immediate last working day.
8. Operating Steps
- Open the application → on the welcome page press PRESS TO PROCEED → enter the Master, Main-Gate or Department password.
- Upload the monthly Employee Master (Excel) before the cycle starts. The QR/barcode value must exactly match the ID/job card.
- Security scans Main Gate IN → supervisor scans Department IN → Department OUT → Main Gate OUT. The sequence is fixed.
- Review Daily Monitoring, export per-shift or consolidated Excel, close the Monthly Consolidation at cycle end, and take a Backup.
Note: Attendance is recognised only on full Gate + Department scan validation, not gate attendance alone. This application is HR Controlled (Document No. VSLP/HR/ATT/001, Version 01).
